The Basics: List Matching

List Matching provides you with the ability to upload a list of people with unique identifiers (such as emails, address, phone number, CRD, NPN, or company names) and match them against related records in the AdvizorPro database.

List matching will equip you with the most accurate and updated data available within a matter of seconds for most lists. 

List Matching can be used to: 

- Refresh contacts exported from your CRM or other third party marketing tools

- Obtain missing contact and/or company data from conference or webinar attendee lists.

 


How to use List Matching 

  • Open the AdvizorPro Search and navigate to 'List Matching' as depicted below.

  • Click on List Matching and then click the icon labeled 'Drag and drop or choose a file to upload your list.' to select the list you'd like to upload as depicted below.

  • Now that you've uploaded the file you have the option to name it as you see fit. 

If you do not name the file and leave it blank the 'Search Name' will default to the name of the file you uploaded.

  • Click I agree

  • Click Next and watch the List Matching function work it's magic! 


List Matching Best Practices

For List Matching to run as smoothly as possible the formatting of the file you're looking to upload is key.

Only include as much of the following information as you have:

  • CRD/NPN
  • First Name
  • Last Name
  • Email Address
  • Company Name

Alternative formats:

  • Name 
    • name, registrant, advisor_Name
  • First Name
    • firstname, first, first_name, first name
  • Last Name
    • lastname, last, last_name, last name
  • Middle Name
    • middlename, middle, middle_name, middle name
  • Email
    • email, emailaddress, email 1, advisor_email
  • Phone
    • phone, phone_number
  • Address
    • address, street, address line 1
  • State
    • state, state/region
  • Zip
    • zip, postalcode, zip code, zip_code
  • Firm
    • firm, company, businessname, brokerdealer, accountname, firm name, company name, account name: account name, company / account, broker-dealer, firm_name, organization, company_name
  • Firm CRD
    • firmcrd, brokerdealercrd, ria firm crd, associated firm crd#, firm_crd, initiating firm industry id
  • CRD (Contact)
    • crd, person_crd, rep crd, advisor crd#, crd code, crd_code
  • Identifier
    • id, contact_id, contactid, record_id, record id, record id - contact

Please ensure each data point has its own respective column before uploading. 

List Matching only works on contacts & companies as it stands today. 


Best Practices for List Matching

  1. Include Unique Identifiers

    • Incorporate as many unique identifiers as possible in your list. Key identifiers include:

      • CRD or NPN numbers

      • Email addresses

      • Full names (first and last)

      • Company or firm names

      • Phone numbers

      • Addresses

    • The presence of these identifiers significantly improves match accuracy.

  2. Standardize Column Headers

    • Use recognized and consistent column headers to facilitate accurate data mapping. Examples include:

      • First Name: first_name, firstname, first

      • Last Name: last_name, lastname, last

      • Email: email, email_address, advisor_email

      • Company: company, firm, organization, brokerdealer

      • CRD: crd, advisor_crd, person_crd

    • Adhering to these standard headers ensures the system correctly interprets your data fields.

  3. Ensure Data Accuracy and Cleanliness

    • Verify that all entries are accurate and free from typographical errors.

    • Avoid duplicate records and ensure consistency in data formatting (e.g., uniform phone number formats).

  4. Use Supported File Formats

    • Upload your list in a supported format, such as CSV or Excel.

    • Ensure the file is not password-protected or corrupted.

  5. Limit Superfluous Data

    • Include only relevant columns that aid in matching.

    • Excessive unrelated data can complicate the matching process.

  6. Test with a Sample

    • Before uploading a large list, test the process with a small sample to identify potential issues.

  7. Regularly Update Your Data with AdvizorPro

    • Keep your data current by regularly updating your lists to reflect the most recent information found within the AdvizorPro database. 


By following these best practices, you can maximize the efficiency and accuracy of AdvizorPro's List Matching feature, ensuring you have the most up-to-date and relevant data for your needs.
